How do I setup a POP account in Outlook 2003?

Outlook, together with Outlook Express, make up the most popular e-mail programs used on the internet today, with pretty much every computer installed with Windows including at least one of the two programs versions.


Outlook 2003 has full support for either the POP3 or IMAP protocols used to connect to our servers and pick up your e-mail and also supports authentication on the outgoing (SMTP) protocol, allowing you to send e-mail out using our servers.


This article will cover setting up the POP3 (and SMTP) protocol in Outlook 2003 (although it should apply to previous version as well). For more information about how POP3 works (as well as what a Mailbox is, and how to set one up), please see the following articles:

  • more iconFirst, load up Outlook 2003 on your system by either clicking on the icon on your desktop or navigating through your Start menu. Once loaded, you will see the program interface with the menu at the top.

  • more iconFrom the menu at the top, click on the Tools option and then click on E-mail Accounts further down.

  • more iconThis will load the eMail accounts wizard: make sure that Add a new e-mail account is selected (should be by default) and click Next.

  • more iconFrom the list on the next page, select the POP3 option and click the Next button again.

  • more iconYou will now be asked to fill out the details of the account, including hostnames and username/password.


    • For Your Name and E-mail Address enter the name and e-mail address of the sender respectivly.

    • The Incoming mail server and Outgoing mail server fields should both have the same value: mail. and your domain name, e.g. mail.example.com.

    • Finally, enter the full e-mail address of the account for the User Name and the password for the account (as setup in Plesk).

    • If you want Outlook to save the password so it doesn't have to keep asking you when you send or receive your e-mail, enable the Remember password check-box.



If you're on a Mail, Home or Professional account, we have installed thawte certificates onto the server which can allow you to connect to the server securly (with error messages and notices).

If you would like to connect securely, enter the name of the server into the Incoming mail server and Outgoing mail server fields. (See your Account Details e-mail for the name of the server you are on).



  • more iconNow click on More Settings. This will allow you to configure the advanced settings for the account, which is needed if you are going to send e-mail through our server (Authentication on the outgoing connection needs to be enabled).

  • The first tab in the More Settings dialog is the General tab, and this allows you to give the account a name, as well as set a Reply-to address:


    • We recommend that you change the name of the account to it's e-mail address. Outlook names all accounts according to the server you entered, and if you create accounts for more than one e-mail address on the same server, it can be difficult to tell them apart. Use the top-most field to change the name.

    • If you want any e-mails sent from this address to be returned to a different one, enter the address into Reply to field.


  • more iconNow click on the Outgoing server tab and enable the option My outgoing server (SMTP) requires authentication, with Use same settings as my incoming mail server highlighted.

  • more iconIf you wish to enable SSL (secure) connections to the server, click on Advanced and enable the check-box for each of the This server requires an encrypted connection (SSL) options.

more iconOutlook will change the port number for Incoming server (POP3) from 110 to 995, but it won't change the port for Outgoing server (SMTP) - change this from 25 to 465.



  • Click OK.

  • more iconClick Finish to complete the wizard.

  • more iconClick Send/Receive on the toolbar to being connect to the server and download your e-mails.
